1.1 Claire Pickman Forest School (CPFS) is a company set up and run by Claire Pickman as a Sole Trader
1.2 CPFS will provide the services and activities as described on this website using reasonable care and skill.
2.1 If you are making a booking on behalf of any other person, you represent that you are a) the parent or legal guardian of a minor; or b) a duly recognised agent of such person.
2.2 All bookings made on the online booking system must be paid in full and all required information is complete and accurate.
2.3 By making an online booking or submitting a booking request, you agree to be bound by these Terms.
2.4 You must check the details on the booking confirmation when you receive if. If there are any errors, please contact Claire Pickman immediately at pickmanclaire@gmail.com
2.5 I reserve the right to refuse to accept a booking/booking request. In such circumstances, no contract will arise and I will return any payment accompanying the booking or request.
2.6 All participants for the events and activities that are under 18 years of age at the time of the event or activity commenting will be required to submit a consent form, completed by a parent or legal guardian.
3.1 All fees are payable in Pounds Sterling.
3.2 Full payment must be made to CPFS at the time of booking unless otherwise agreed in writing by CPFS.
3.3 All payment details and payment methods are on the online booking form.
4.1 If the costs of running the event or activity significantly increase for reasons beyond my reasonable control, I reserve the right to increase the event or activity fee. Any such increase will be notified to you as soon as reasonably practicable. If the event fee is increased by 10% or more, you will be entitled to cancel your booking and obtain a full refund.
4.2 The website booking system is supplied by a third-party supplier. Whilst every effort is made to ensure that the most up-to-date and correct prices are shown on the website and within the booking system, there is the possibility of an inconsistent price between the two. Once I am aware of any inconsistency, I will act promptly to rectify the inconsistency and notify you as soon as reasonably possible.
5.1 Events such as birthday parties and afterschool clubs are subject to a maximum number of participants. Once the maximum number of participants has been reached, any other booking requests will be added to a reserve/waiting list and notified if and when a place becomes available.
6.1 In the event of cancellations, the client booking must inform me as soon as possible using the contact number 07814 028636 and in writing to pickmanclaire@gmail.com
6.2 If you cancel your event the following cancellation charges will arise:
For club:
Over 14 days notice before the date of the first club session, full refund
Over 7 days’ notice before the date of the first club session, 50% refund
Under days’ notice before the date of the first club session, no refund unless in exceptional circumstances
For birthday parties:
1 month notice, full refund
Over 14 days’ notice, 50% refund
Under 14 days’ notice, no refund unless in exceptional circumstances (What is deemed ‘exceptional circumstances’ is subject to the discretion of Claire Pickman Forest School)
For other events:
1 month notice, full refund
Over 14 days’ notice, 50% refund
Under 14 days’ notice, no refund unless in exceptional circumstances (What is deemed ‘exceptional circumstances’ subject to the discretion of Claire Pickman Forest School)
6.3 Failure to attend an event will be deemed a cancellation and you will forfeit 100% of the event fee.
6.4 You acknowledge and agree that is it reasonable for such a cancellation charge to arise given the requirement for CPFS to make preparations and payments for an event substantially in advance of the date of the event.
6.5 I appreciate that wholly unforeseen events may result in your needing to cancel your event. I therefore recommend you take out the appropriate insurance to include cover against such a cancellation.
7.1 CPFS reserves the right to cancel an event or activity or any booking prior to the commencement of the activity for any reason and at short notice (including and without limitation, if the minimum number of participants required for an event or activity is not fulfilled). In these unusual circumstances, all monies paid to CPFS will be repaid in full.
7.2 An event or activity may also be cancelled either before or after its commencement for reasons of Force Majeure. A Force Majeure is any act, event or occasion that is reasonably outside of my control.
7.3 CPFS will not be liable to pay any compensation or incidental costs or expenses that you may incur as a result of such cancellation or for any other loss or damage howsoever caused arising out of such cancellation.
8.1 An event or activity description constitutes only an indication of what the event or activity is planned to accomplish. The event or activity description does not form part of the Contract between you and CPFS. Although I will aim to provide an event or activity as described, the nature of the events or activities offered necessitates a degree of flexibility and you accept that any aspect of an event or activity may be affected by or altered due to circumstances beyond my control (such as the weather) or in the interests of participants.
8.2 CPFS will not be liable to pay any compensation or incidental costs or expenses that you may incur as a result of any alterations to your event or activity or for any other loss or damage arising from such alterations.
9.1 The participants are required to be in good physical and mental health. By attending the event or activity you confirm that you (or any dependents you are acting on behalf of) are physically capable of participating in the event with no medical history that would make it dangerous to you or others to participate.
9.2 If you have a special medical requirement or health condition, you must inform me prior to the event or activity using the appropriate section on the booking form.
9.3 If you have any dietary requirements or allergies, you must inform me prior to the event or activity using the appropriate section on the booking form.
9.4 All instruction will be given in English. For the health and safety of all participants, it is your responsibility to have sufficient fluency in English to understand the safety instructions.
10.1 You are responsible for bringing the appropriate clothing and equipment to an event or activity. Guidance will be sent to you after your booking has been confirmed.
10.2 Any information provided on such matters as climate, clothing and equipment is given in good faith but without responsibility on the part of CPFS.
10.3 All personal equipment are at your own risk. CPFS will not be responsible whatsoever for any loss or damage to your personal equipment.
11.1 You must use all reasonable care in the use of equipment owned by CPFS and the property on which the event or activity is taking place. You must comply with reasonable instructions from all activity leaders and assistants.
11.2 CPFS reserves the right to charge you for the cost of replacement or repair of items if damaged by you during an event.
12.1 The activity and event rules will be explained to you at the beginning of the activity or event. These will be repeated regularly and in response to the behaviour of the group. You must observe these rules and reasonable instructions of the activity leader and their assistant.
12.2 You must conduct yourself in a reasonable manner at all times and maintain a standard of conduct which are consistent with the aims of the activity or event.
12.3 Parents, guardians, teachers and those in comparable roles in respect of children must maintain control of those children at all times to the satisfaction of the activity leader and activity assistant.
12.4 If in the sole opinion of the activity leader your behaviour (or the behaviour of a child for which you are responsible) is deemed unsafe or unacceptable for whatever reason, you will be asked to leave the activity. Where a child’s behaviour is deemed unsafe or unacceptable the parent/guardian of that child will be called and asked to collect them.
13.1 It is a fundamental term of booking that you acknowledge and accept the risks and hazards that may be involved in the activity or event conducted by CPFS, including serious injury, loss or damage to property, discomfort and inconvenience.
13.2 In particular, you acknowledge and accept that: a) natural areas are subject to natural forces which may result in obstacles and hazards which can be life-threatening or cause injury; b) being in natural areas may result in encounters with flora and fauna which can be life-threatening or cause injury; c) the weather may change rapidly and may be extreme, presenting obstacles and hazards which can be life-threatening or cause injury.
13.3 Save as otherwise required by law, participants take part in activities and events at their own risk.
14.1 If you have a complaint during your activity or event you must bring it to my attention at the earliest opportunity in order that remedial action may, if appropriate be taken. You expressly acknowledge that it is unreasonable to take no action during the event but to complain later. Any outstanding complaint not resolved during the activity or event must be notified to Claire Pickman (using the following email address; pickmanclaire@gmail.com) in writing within 30 days of the scheduled end of the activity or event.
15.1 All activities undertaken by CPFS are done so with as little negative impact to the natural environment as possible. As part of the introduction and safety briefing of the setting, I will ask that all participants also respect the environment and provide guidance to prevent long-term damage to natural habitats. All rubbish created needs to be removed at the end of every session
16.1 These terms may be updated at any time and without notice. You will be subject to the Terms in force at the time of your booking.
